A collection is taken at the main Sunday service and on other occasions as the chaplain, wardens or treasurer may decide. The Junior Church also usually takes a collection, which is dedicated to their own particular project, currently with Tear Fund. Because of this, the Junior Church collection needs to be counted separately.
Procedure
The Treasurer and the sidesperson should normally count the collection together. The Treasurer may appoint a deputy to stand in, or, failing this, the Duty Council Officer is responsible.
- If the server has not done so, take the brass plate with the collection bags from under the credence table into the vestry.
- Take a collection entry sheet from the left-hand drawer of the desk in the vestry, as well as a plastic envelope to store the money.
- Put the brass plate back on the pile of brass plates next to the vestment wardrobe.
- Count the main collection. It is not necessary to itemize the amounts by denomination, but if wished, this can be done on the back of the entry sheet. Write the total in the space provided on the front of the sheet.
You may exchange foreign coins and notes yourself, or leave them for the Treasurer to exchange. In the latter case, note the amount and currency on the collection entry sheet.
- Put the coins and notes in the plastic envelope.
- Follow the same procedure with the Junior Church collection.
- Write the totals in the space provided in the service book and initial them.
- Replace the church collection bags at the back of the church and the Junior Church collection bag in the Junior Church materials cupboard.
- When appropriate, count the coffee money, write the total on the sheet and add the proceeds to the money in the envelope.
- Ideally, also count the contents of the card and book cash-boxes, and any cash-box for UK food sales, and note the amount on the sheet. It does not matter if you do not do this, as the administrator will in any case check in the course of the week.
- Total the amounts, and either pay the total into the church's Postfinance account (30-4416-8), marking the inpayment slip Eigenes Konto, or leave the money with the Chaplain or administrator to add to Petty Cash or keep it with you and give it to the Treasurer at the earliest opportunity. Put the collection entry sheet in the Treasurer's in-tray in the hall, or give it to the administrator to put in the Treasurer's in-tray in the Church office.
